MindFlow Automation (“MindFlow”, “we”, “us”) provides customized, fully managed AI growth services to businesses in the United States, including MindFlow Reach, MindFlow Connect, MindFlow Operations, the MindFlow One app and the optional MindFlow Pulse add-on. This policy explains how we handle personal information when you visit mindflowautomation.com, contact us or use our services. You can reach us about privacy through our contact page.
Information you give us. Your name, business name, email address, phone number, business details, and anything you share in our forms, emails, calls, chats or messages.
Information we handle for our clients. When a business uses our services, we handle information about that business’s customers and leads on its behalf, such as names, contact details, call recordings, transcripts, messages, booking details and records in connected tools like calendars and CRMs. In that role we act as a service provider to our client, and the client’s own privacy notice also applies.
Connected business data. If a client connects business apps to MindFlow One or MindFlow Pulse, we process the data those connections make available, only as configured and authorized by the client, to show activity, prepare briefings and alerts, and support recommendations.
Information collected automatically. Basic technical information when you visit our website or use our apps, such as browser and device type, pages viewed and approximate location, collected through cookies and similar technologies.

Our AI systems say they are AI when asked. Calls handled by our systems may be recorded and transcribed for quality, record-keeping and improving the service, with notice where the law requires it. AI-generated insights and recommendations are reviewed with people and are not automated decisions with legal effects.
We do not share mobile phone numbers or text messaging consent with third parties or affiliates for their marketing purposes.

When a client disconnects an integration or ends the service, we stop collecting data from it and delete or return client data as set out in the client’s agreement.
We use reasonable administrative, technical and physical safeguards to protect personal information, including limiting access to connected business data to authorized people. No method of transmission or storage is completely secure.
Our website and services are for businesses and are not directed to children under 16. We do not knowingly collect personal information from children.
